Please note: The purpose of these reports are to demonstrate our services, the level of detail that we include, and how the reports are formatted clearly and are reader-friendly. Please be aware that, for the purpose of the examples, not every room/aspect of the sample property has been included.

Inventories

A detailed inspection is conducted, noting the state of every room, fixture, fitting, and any furniture or appliances included in the tenancy. Timestamped photographs are also taken to provide visual evidence.​ We test any safety alarms for power, and record meter readings.

Check-Ins

A Check-In for a rental property is the process where the tenant officially takes possession of the rental unit. During the Check-In, we test alarms and hand over keys for the tenancy. All of this is compiled into a comprehensive report.

Interim Inspections

This report includes overall photos of each room, including any issues as seen with the general decor, furnishings, floor coverings and suggests any remedial maintenance work that may be required now or going forward in the short to medium term.  We report on any signs of unauthorised pets. We will always seek to ensure that no personal effects are recorded.  The report also includes the testing of power to Smoke & Carbon Monoxide Alarms under the landlords obligations to maintain a property that is Fit for Human Habitation.

Check-Outs

This detailed report, notes any changes in the property's condition since the beginning of the tenancy, such as wear and tear, damages, cleanliness, and the presence of all listed items. It will also include photographs to provide visual evidence.  The report will refer to the original Inventory (if provided), making comments against any areas / items that have changed from the original report information. As well as noting any cleaning issues and damage, we will also highlight if the property has been improved during the tenancy such as being in a cleaner state or changes to decor.  If there is not an original Inventory, we will create a Schedule of Condition and cleanliness report that provides a general overview of the property.

Vacant Inspections

Our Vacant Property Inspection service provides landlords and letting agents with a professional, independent record of their property while it is unoccupied. When a property is left vacant, issues such as leaks, damp and mould, pest activity, damage, vandalism or signs of unauthorised access can go unnoticed and potentially worsen over time. Regular inspections provide an important opportunity to identify and report visible concerns at an early stage. During each visit, we carry out a non-invasive visual inspection of the readily accessible internal and external areas of the property. This can include the general condition of the property, apparent security of accessible doors and windows, visible leaks or water damage, damp and mould, pest activity, gardens and boundaries, signs of damage or unauthorised access, and meter readings where safely accessible. Following the inspection, you will receive a detailed digital report supported by time and date-stamped photographic evidence, providing a clear evidence trail that the property has been visited and documenting its readily visible condition at the time of attendance. For ongoing inspections, we can also compare the property against the previous visit and highlight any apparent changes or deterioration. If we identify something that appears to require urgent attention, we will make reasonable efforts to notify you as soon as reasonably practicable rather than relying solely on the completed report. Visits can be arranged at intervals to suit your requirements, whether weekly, fortnightly, monthly or on an ad-hoc basis. If inspections are required as part of an insurance policy, clients should check their individual policy and provide us with any specific inspection requirements before booking. Our Vacant Property Inspections are observational and non-invasive and are not building surveys, security assessments, risk assessments or specialist inspections. We do not diagnose defects or guarantee that a property is free from hidden or developing issues; instead, we provide an independent photographic record of what was readily visible at the property at the specific date and time of our visit.
